When and where is the APIC 2025 Annual Conference & Exposition taking place?
The conference will be held in the Phoenix Convention Center in Phoenix, Arizona. The conference begins Monday, June 16, and continues through Wednesday, June 18. Pre-conference activities will take place on Sunday, June 15.

When do applications for the APIC25 travel grants open?
Applications for the 2025 International Travel Grants opened on June 1, 2024, and closed on October 31, 2024. Applications for the 2025 Domestic Travel Grant Sponsored by Clorox Healthcare open December 4, 2024, to January 16, 2025. When does the APIC25 Call for Speakers open?
The 2025 Call for Speakers submission period closed August 11, 2024, and we are no longer accepting new applications.

When does the APIC25 Call for Abstracts open?
The 2025 Call for Abstracts is open October 28, 2024, to December 8, 2024. For more information, visit the APIC25 Call for Abstracts page on the website.

When do applications for the APIC25 Film Festival Open?

How can I register?
Attendee Registration opens January 22, 2025. Exhibitor and Group registrations (4 or more people) opens January 15, 2025. To view the APIC25 Registration options and rates, visit the Registration Rates page on the website.

Is there a discount for students?
We offer discounted rates for full-time undergraduate and graduate students. For more information and eligibility criteria, visit the Registration Rates page on the website

Is there a discount for group registrations?
When you register three team members, the fourth attends free from the same institution. An institution is defined as the same company, organization or health system. Attendees from multiple facilities may register as a group if those facilities are within the same organization or system. Group registrations must use only one form of payment for ALL registrations fees. Other benefits of Groups Registrations include early registration and housing access, on-site assistance and activities, and more. Is the conference in-person or virtual?
This year’s conference will be a hybrid event. Attendees have the option to attend in person or virtually.

What is included with the in-person registration?
In-person registration includes the following:
  • Three general sessions
  • All concurrent sessions (60-minute), 30/30 sessions, and workshops
  • Posters & oral abstract presentations
  • Access to the Exposition and all activities held on the show floor
  • Monday/Tuesday Lunches, Wednesday Breakfast, & refreshment breaks over the conference dates
  • Closing Reception & additional networking activities
  • Conference tote bag and physical conference materials
  • Access to ALL sessions, except pre-con workshops, on-demand online through September 30, 2025

What is included with the virtual registration?
Virtual registration includes the following:
  • Live-streaming three general sessions
  • Live-streaming of select concurrent sessions
  • Digital poster presentations
  • Real-time networking with other virtual attendees
  • Digital conference materials
  • Access to ALL content, except pre-con workshops, on-demand online through September 30, 2025

How do I book a hotel?
APIC25 housing is managed by MCI USA. Housing will open on January 22, 2025, for attendees, and on January 15, 2025, for exhibitors and groups (4 or more people) only.

Which hotel is the headquarter hotel for APIC25?
The headquarter hotel is the Hyatt Regency Phoenix. It is located across from the Phoenix Convention Center.

Is there a housing block for International Attendees?
While attendees can book a room at any of our official hotels, we encourage International Attendees to book their stay at the Sheraton as our designated International Hotel, meant to bring our international community together in one place and facilitate connections.

Do you provide visa letters to international attendees?
Yes! Please visit the International Attendees page on the website to download a copy of the APIC25 Visa letter and find more useful information for your trip.

Is there a shuttle bus from hotels to the convention center?
APIC will provide complimentary shuttle bus transportation Sunday, June 15 – Wednesday, June 18 between the Phoenix Convention Center and most official conference hotels (some routes may be combined). For more information visit the Housing & Travel page on the website

Does APIC provide transportation to/from the Phoenix International Airport?
Transportation to/from the Phoenix International Airport is easy. Attendees can utilize the PHX Sky Train, as well as taxis and ride share services. For more information visit the Housing & Travel page on the website
 

What parking is available at the Phoenix Convention Center?
Metered parking is available at the Phoenix Convention Center, as well as public parking lots in the surrounding areas. Daily and hourly rates may vary depending on the location. For more information visit the "Parking" section of the Housing & Travel page on the website

What COVID-19 safety measures are in place for in-person attendees?
Please visit Health & Safety page on the website for the most up-to-date information. If you are exhibiting cold or flu-like symptoms, have knowingly been exposed to COVID-19, or have received a positive COVID-19 test within 10 days of the start of the conference, please stay home and attend virtually. To transfer your registration to a virtual pass, please contact APIC Registration at annual@apic.org.
